House Information & Rules

Please find below the rules and regulation as well as helpful information that apply to each property. You must read the complete house rules before moving in.

Emergency Information 

Please find below important information regarding emergency procedures.

In Case of Fire

  • Call 911

Fire Extinguishers

  • There is a fire extinguisher on each floor, generally in the kitchen on the first floor and another one in the bathroom or on top of the stairs on the second floor.

  • To use the fire extinguisher, first pull on the pin next to the handle, point the hose to the base of the fire, and press the handle.

Attic Room

  • If your house includes a room on the 3rd floor, there is an emergency ladder to exit from the top floor windows in case of emergency as required by New York law.

  • To exit, you may need to remove the A/C unit--which is not attached but just rests on its support. You don't need to carry it. You can just slide it and drop it on the floor. You can then throw the 13ft ladder across the window, hook it to the ledge, and climb down. 

Smell Gas

  • If you smell gas, leave the house immediately.

  • Call 911.

  • Call 800-743-1702 to report a gas leak at the address.

  • Call the Property Manager at 650-296-9968 or Property Maintenance at (585) 743-0059.

Detectors

  • Each bedroom is equipped with a smoke detector inside and outside the room.

  • The lowest level where a bedroom is present is equipped with a Carbon Monoxide Detector.

  • Please notify Property Maintenance at (585) 743-0059 if any of the detectors starts beeping indicating a low battery.

  • NEVER REMOVE a battery from a detector without notifying Maintenance.

Water Leak

  • If you notice a water leak (shower, sink, anywhere), close the main valve that is located in the basement next to the water meter. It is generally a red valve.

  • If you hear or see a toilet continuously running, please close the faucet connected to the wall under the toilet tank to stop the leak.

  • Please fill out a Service Request if you encounter a problem with the house.

  • You can contact Stephane at (650) 296-9968 if you do not hear back from him after filling out a Service Request.

  • Your local property maintenance manager is Gregory Ivery.

  • Greg can cater to most repairs in the house.

  •  Stephane will dispatch Greg as needed. 

  • You can contact Greg directly if you do get a response from Stephane within 1 hour.

Emergency Contact

  • In case of emergency, always call 911 first.

  • If you need to contact the landlord in an emergency, call Stephane at 650-296-9968. If you do not get response call Celia at 650-727-7859.

  • You should also call Greg at (585) 743-0059 and let him know what is going on.

  • For non-emergency, landlord email is slpmdubois@gmail.com or contact via text at 650-296-9968.

Safety Instructions

  • MAKE SURE ALL WINDOWS ARE CLOSED AND LOCKED WHEN YOU LEAVE THE HOUSE.

  • MAKE SURE TO LOCK YOUR CAR. DO NOT LEAVE VALUABLES IN YOUR CAR.

  • DO NOT LEAVE BICYLES AROUND THE HOUSE UNATTENDED. STORE THEM IN THE GARAGE OR THE HOUSE.

  • THE ELECTRONICS LOCKS TO THE FRONT DOOR AND SIDE DOOR WILL LOCK AUTOMATICALLY AFTER 30 SECONDS. MAKE SURE TO PULL THE DOOR COMPLETELY SO THAT THEY DO NOT JAM.

  • IF YOU INTEND TO KEEP VALUABLES IN THE HOUSE, WE RECOMMEND YOU OBTAIN RENTER’S INSURANCE.

  • If all occupants plan to leave the house for an extended period of time (e.g. winter vacations), please plug the webcam back in and text the landlord at 650-296-9968 to put the webcam back into operation. Lock both front and side electric locks. 

House Rules

Please find important hour rules below. You are expected to comply with all those rules at all times.

No Smoking

  • No smoking inside the house at any time.

  • Smoking on the non-enclosed front, back, or side porch is allowed. 

  • Throw your cigarette butts in the trash.

You Got Roommates

  • You are sharing this house with up to 3 roommates. Your quality of life will partially depend on how you get along with your roommates. Please respect each other's space, need for rest, study time, customs, and habits.

  • Make sure you clean after yourself in the common areas so as to keep other's experience enjoyable.

  • We recommend scheduling some shared time among all the tenants once every two weeks to tidy up the house and clean common areas.

Locking The Place

  • This neighborhood is very safe, but this does not mean you should tempt anyone.

  • MAKE SURE ALL THE WINDOWS ARE CLOSED AND LOCKED WHEN YOU LEAVE THE HOUSE.

  • The primary locks for the front, back, and side doors (as applicable) are digital. You were given a code to those locks. The code is the same for all digital doors. This code is personal to you. Do not share it with others. Let the landlord know if you need to change the code to a new code. YOU WERE NOT GIVEN ANY KEYS TO THE DIGITAL LOCKS. ONLY YOUR CODE WILL WORK.

  • How to use the digital locks:

    • To unlock: Enter your code and press the bigger button at the bottom of the dial.

    • To Lock: Press the bigger button at the bottom of the dial while pulling on the handle to make sure it locks fully.

    • Note that the digital locks lock automatically after 30 seconds.

  • The digital locks are operated remotely via white Wi-Fi bridges plugged in close proximity to the lock. Please make sure that those remain plugged in at all times. The bridge could be in your bedroom. Do not unplug the bridges! If you see one of the Wi-Fi bridges display a red light, please unplug it, wait 10 seconds, and re-plug it,

  • If your house is dotted with an enclosed porch, we recommend you leave the porch door unlocked so that you can use it for deliveries when you are gone (See note below). Make sure that all the windows that open on the porch are locked at all times.

  • Only use the digital lock on the front, back, and side doors (and not the secondary locks below them if they exist) when you leave the house so as not to lock anyone out who may not have taken their keys.

  • It is okay to lock all locks (digital on top and manual at the bottom) on the front, back, and side doors if you are inside the house.

  • If you are locked out of the house, call Stephane at 650-296-9968 so that he can try to open the house remotely. 

  • If opening the house remotely is not possible, call Greg at (585) 743-0059 so that he can open the door with keys. Note that we charge $20 for such occurrence.

  • The batteries for the digital locks need to be changed regularly (every 6 months or so). You will be notified to change such batteries when needed and batteries will be shipped to the house for that purpose. Spare batteries are to be used ONLY FOR THAT PURPOSE and should be stored safely in the house.

  • If you get locked out of your room or the house for any reason and a locksmith must be called to get you in (if Greg is not available), you will be responsible for paying the locksmith fee (up to $150 off hours).

Webcams

  • There should be one to four webcams in the house. They could be active and connected if you are the first person to occupy the house. These webcams have motion detection available and can detect anyone entering the house.

  • Unplug the webcams when you are move in the house for your privacy. Please store them in a safe place in the house so that other tenants know where they are located.

  • If all tenants plan to leave the house for an extended period of time (e.g. winter vacations), please plug the webcams back in and text the landlord to put the webcam back into operation during that period.

  • This will secure the property (and your belongings) during that period.

Garbage

  • We are providing garbage cans in every room and both a recycling can and a garbage can in the kitchen.

  • There is also a small garbage can in each bathroom and one next to the washing machine in the basement.

  • Make sure to use garbage bags in the kitchen cans. When full, place those bags in the garbage bins in the back of the house.

  • Garbage Day is every Friday morning for regular garbage (green can) and every other Friday for recycling (blue can). The schedule may change due to holidays.

  • Put the garbage cans on the grass area along the street prior to pick up day.

  • Put the garbage cans back behind the house after pickup.

Garage & Parking

  • Your house may come with a one or two car garage.

  • The garage is to be shared among tenants. If all tenants own more than the number of spots available in the garage, we recommend that tenants should establish some rolling schedule for the use of the garage. If that cannot be arranged among tenants, we will charge for the use of the garage.​

  • The same rule applies to parking your vehicle in the driveway. Since most driveways are narrow, it is best to leave your keys accessible by other roommates in case they need to move your car to access theirs.

  • You can only park one vehicle on the property at a time and that vehicle should be included in your lease. Please notify the landlord if you change vehicle during the lease.

  • You can park in the street as allowed and appropriate.

  • Do not park anywhere beside the driveway. No parking on the grass (Rochester regulation)! 

  • Do not leave any inoperable vehicle parked on the property at any time.

  • No more than 3 vehicles should be parked on the property at any time (Rochester regulation). Additional vehicles should use street parking.

  • All motor vehicles parked on the grounds of the house must be validly registered, inspected, insured and have current license plates properly displayed.

Bicycles

  • Bicycles can be stored either in the garage (if available), basement (if easily accessible), porch (if enclosed), or mud-room.

  • Be extremely careful of not damaging the walls and trims with your bike when storing it inside the house. 

Snow Removal

  • We will provide timely snow removal if there is more than 4 inches of snow on the ground.

  • You are responsible for snow removal in the pathways. A snow shovel is provided for your convenience. Be careful not to slip and hurt yourself when removing snow.

Deliveries

  • Amazon, USPS, UPS, and other services will deliver to the house.

  • When ordering, we recommend that you enter instructions to leave packages inside the front, back, or side porch as appropriate and indicate that the door will be unlocked if the porch is enclosed. This way your packages will not be left in the street where they could be stolen. 

Snail Mail

  • Feel free to use the property address to have mail delivered in your name.

  • You should consider having your mail forwarded after the end of your lease (This can be done online).

  • Please throw away any junk-mail addressed to non-current residents or the landlord (Stephane Dubois, Celia Yin, Xinqiao Yin, Meliorent, or StudySpace Services).

  • Please save any "official looking" mail or any package for Greg to pick up on his next visit. This includes mail from the City of Rochester or Monroe County.

Wi-Fi

  • The name of the network and the password can be found on the side of the router.

  • The Wi-Fi router is generally the living room next to the TV.

  • If you live in an upstairs unit (E.g. 320 Brooks Av.), the Wi-Fi router is in the downstairs unit.

  • There might be a signal booster plugged in the house. If you find that signal is too weak in your bedroom, please let the Property Manager know so that we can add a signal booster.

Roku

  • The TV comes with a Roku player. You can use the Roku player to log into your own Netflix account (or other streaming service).

  • You can watch TV shows and movies on Roku for free.

A/C

  • There should be an A/C unit in the living room and one in some or all the bedrooms. 

  • Some houses are equipped with central A/C (e.g. 266 Melrose St.)

  • Please moderate your use of the A/C so as to keep utilities cost low.

  • Don't turn the A/C on when the heat is on. Just lower the heat!

  • Please contact Property Maintenance at (585) 743-0059 if you would like your A/C to be removed from your window during the winter.

Heating

  • The thermostat controlling the temperature is generally located in the living room.

  • They all work a little differently, but generally, to use it, press the “Mode” button until it displays “Heat”. Then use the arrow buttons to control the temperature.

  • The heat is via generally pulsed air. Make sure that you do not block each vent in the bedrooms. Units that use a boiler will have radiators instead (e.g. 121 Barton St.).

  • Some bedrooms are equipped with their own electric base heater. Please be very careful not to leave any clothes or items close to those heater as this could start a fire.

  • To ensure that you do not exceed your monthly utility budget, we recommend that you make sure to reduce the temperature in the house when you are not there.

  • Never completely shut down the heat during the winter as this could lead to burst pipes. Leave the temperature at a minimum of 55 degrees when leaving the house for Thanksgiving or Winter break.

Washer/Dryer

  • Enjoyment of the washer and dryer is free. Please use them wisely to keep it that way!

  • Washer

    • The washer may be draining into a sink. Make sure the drain tube remains connected to the sink at all times.

    • Please make sure that the sink next to the washer is not clogged or plugged as it is used to drain the washer during operation.

  •  Dryer

    • Make sure to clean the lint filter once in a while. The filter is at the bottom of the door opening. Just grab it and pull it up and dispose of the lint in the garbage can.

Water Consumption

  • Be mindful that water can easily become the biggest contributor to the utility bills if you consume it haphazardly. Please be considerate to other tenants when using the bath/shower and doing laundry runs. 

Microwave/ Cooking Range

  • Just wipe the microwave once in a while with paper towels like your parents taught you!

  • If you do a lot of cooking, grease will accumulate. Make sure to clean the range and kitchen surface regularly.

Garbage Disposal

  • Your house most likely DOES NOT have a garbage disposal. Please be mindful when using the sink.

  • If there is a garbage disposal, the switch should be on the wall behind the sink or in the cabinet below the sink.

  • Don't go crazy throwing stuff in there unless you are willing to retrieve it with your hand when it is stuck.

  • If the garbage disposal stops working, check underneath it for the break switch (very small pop up button). Just press it and try again.

  • We will not send the property manager in an emergency to unclog the garbage disposal because you used it improperly.

Toilets

  • These are 100 years old pipes. Unless you want the sewer to clog up and back up into the basement, do not throw anything but your business and toilet paper in the garbage. No wipes. No condoms. No paper towels. No feminine hygiene materials. 

  • If the toilet gets plugged, use the plunger provided to unclog it. If you don’t know how to do it, watch this video.

Cleaning

  • We provide a vacuum cleaner and mop at no charge. It's a hint. Most student houses do not do that.

  • Please use them once in a while to keep the house in reasonable shape. It's not hard and it will make you a better person.

  • If extensive cleaning carpet cleaning is required at the end of your lease, this will come out of your security deposit.

Gatherings

  • This house is designed to help you have the best possible time while at the university. This includes having your friends over at the house.

  • Things to watch for:

    • Make sure your friends respect the premises just as you do.

    • Do not share your lock code with others. And if you do, let us know so that we can change the code (it can be done remotely).

    • All the neighbors are very nice and could be full-time working residents. There are quite a few student houses around as well.

  • Be mindful of excessive noise late into the night, especially during the week.

  • If neighbors complain about excessive noise, the rules will be changed accordingly.

  • Please contact the Property Manager if you plan to host any event or gathering at the house. Make sure to get your roommate's approval as well.

Summer Storage

  • If you plan to not stay at the house during the 2 or 3 summer months, but plan to come back the following year, you may store your belongings in the garage and or basement. Just be mindful of the shared space and be tidy.

  • Do not leave any garbage or boxes in the basement.

Gardening

  • Our gardener will mow the lawn, and maintain the yard twice a month (except in winter).

Checking Out

  • Please use the Checking Out form.

  • You will be leaving the property at the end of your lease. Here is some critical information regarding that process:

    • The last day of your lease is indicated in your lease document.

    • If your last month is a partial month, your landlord will provide you with what your last month of rent amount is if it is a partial month.

    • You must be checked out by 12PM on your termination date.

    • You will need to do a thorough cleanup of your room at the end of the lease. You should empty the room of all property, wipe the furniture, remove tape and stickers. vacuum, and mop the floors.

    • Please wash your mattress cover on your last day and put it back in place.

    • You will need to clear any of your property from the shared areas and from the basement and garage. You are not to leave any property or garbage to be thrown out by someone else.

    • Be mindful of not dinging the walls when moving items in and out of the house.

    • If you need to dispose of larger items, do so ahead of time so that you can have it picked up on garbage day.

    • Make sure to clear any food items from the fridge and clean your “area” in the fridge if any.

    • Leave your house keys on your door if there is such.

    • Make sure you do not take any of the garage remotes with you. There is $50 charge for it.

    • If you are leaving prior to some of your roommates, do not push cleaning responsibility onto them and do your share.

    • We encourage you to consult with your roommates to make sure they are comfortable with how clean you left your share of things and on any damage that you may have done to the shared areas.

    • According to your lease, you stipulated that  “the premises will be left in good order, repair and clean condition (including, but not limited to emptied and cleaned refrigerator, stove, microwave & sink, swept and mopped floors, cupboards emptied of food, bathrooms cleaned & sanitized, bedroom furniture clear of all personal belongings and undamaged vinyl covers on mattress) at the termination of this lease.”

  • If you complete all the tasks above properly and there is no damage to the premises, then you will receive your full deposit back minus the $100 cleaning fee.

  • Things that could cause you to not get a full deposit refund include:

    • Lost keys or garage door remote.

    • Uncleaned room or shared areas.

    • Garbage/property left behind.

    • Dirty mattress cover.

    • Damage to the room (walls, floors, trims, windows) that goes beyond normal wear and tear.

    • Damage to the common areas that goes beyond normal wear and tear and that are imputable to you or your pet.

  • Let us know if you need an inspection of your room done on the day of your departure.

  • We recommend that you take pictures of how you left things if there is no inspection.
